JOB OVERVIEW: Perform a variety of administrative duties and coordination to ensure efficient operations in the office while delivering and exceptional customer experience. for our Lead Service Replacement Project.

 

JOB DESCRIPTION: 

• Provides routine project support.
• Supports day to day administrative and field support for ongoing and upcoming projects. 
• Coordinates tasks with office staff and field supervisors 
• Develops and maintains customer-focused relationships with all stakeholders.
• Complete daily and weekly reports of job progress and delays 
• Calendar management and appointment setting for ongoing and upcoming projects. 
• Attend site meetings and meet with customers.
• Maintains project record keeping.
• Check phone messages throughout the day; return calls or route messages as needed. 
• Obtain customer information, enter and maintain accurate records within the database, set up estimates and send information to the sales team. 
• Work with scheduler on scheduling jobs and finalize setting up the job with the customers. 
• Track job pictures: verify there are pictures to put with each job.
• Corresponding via email, phone and chat within the organization and directly with customers. 
• Put sewer videos online. 
• General admin duties including filing, scheduling, keeping the office tidy and well kept.
• Be available to help in whatever capacity may be needed (created sewer inspection reports, sorting mail, tracking down information, submitting permit applications, calling in inspections, creating job packets, etc.) 
• Performs all other duties as assigned. 

WORK EXPERIENCE REQUIREMENTS:

• Bilingual (Spanish) required
• High School diploma or equivalent is required.
• Minimum of 1 year of experience working in planning or project assistance.
• Proficiency with Microsoft Office Suite and G-Suite.
• Excellent communication skills, both verbal and written.
• Ability to work independently and carry out assignments to completion within given parameters of instructions.

PHYSICAL REQUIREMENTS:

• Ability to safely and successfully perform the essential job functions consistent with the ADA, FMLA and other federal, state and local standards, including meeting qualitative and/or quantitative productivity standards.
• Ability to maintain regular, punctual attendance consistent with the ADA, FMLA and other federal, state and local standards.
• Must be able to lift up to 25 pounds at times.
• Prolonged periods of sitting at a desk and working on a computer.
• This position will primarily work in the office, 25% working outdoors or in varying weather conditions.
