Job Description

We are looking for a proactive, resourceful and thoughtful candidate to, during this initial phase of company growth, be responsible for managing the office front line support. This position is responsible for providing direct administrative support for the Company’s Co-CEOs and other senior leaders. They are experienced, reliable, and task-oriented; proactive in approach to the role, taking charge of communications with all necessary constituents. the items that require attention and completion, detail-oriented, and a highly effective

 

MAJOR DUTIES AND RESPONSIBILITIES

  • Support Co-CEOs and other senior staff members with administrative activities including:
    • meeting and conference scheduling, to include on- and offsite meetings, booking and coordination/setup of meeting rooms, etc.
    • point of contact between Executives and those with whom they are meeting
    • complete and submit expense reports
    • general calendar management
  • Manage information flow between executives and other members of senior staff, internal and external constituents, etc. in a timely and accurate manner
  • Route purchase requisitions for signature approvals in accordance with company signature authority
  • Prepare internal and external corporate documents as required such as consulting agreements and offer letters.
  • Maintain an organized filing system of paper and electronic documents and records on behalf of executives
  • Uphold a strict level of confidentiality, having an awareness for the sensitivity of materials/meetings/etc. to which they will have access
  • Develop and sustain a level of professionalism and approachability with both internal team members and external contacts/physicians/business partners/etc.
  • Coordinate and manage travel; book air, hotel and transportation arrangements which are convenient, cost effective, and in accordance with company travel policies
  • Manage all office areas, ensuring they are well-kept and tidy at all times, maintaining a professional image at all times.
  • Greet visitors and give access to specific individuals whenever applicable.
  • Assist on company calendar management, schedule meetings, and events as needed.
  • Assist on the planning and execution of regular corporate events and meetings
  • Provide administrative support as needed for cross-functional teams and projects.
  • Perform other duties as assigned.

 

EDUCATION REQUIREMENTS

  • BA/BS in business or equivalent

EXPERIENCE REQUIREMENTS

  • 5+ years in administrative position, including support of multiple persons and/or functions
  • Skilled in the use of Microsoft office suite, especially Word, PowerPoint, Excel, DropBox, Slack, DocuSign
  • Previous experience in medical device start up preferred
  • Ability to work independently and to prioritize activities and workload
  • Strong interpersonal skills to interact positively with all employees
  • Strong oral and written communication skills
  • Strong time management and organizational skills
  • Proficient in scheduling and calendaring tools such as Outlook
  • Accept instructions, handle vendor contracts, among other tasks
  • Ability to multitask to complete a wide variety of tasks
  • Flexibility to adjust to new tasks should company or office needs change
  • Attention to detail to ensure tasks are completed thoroughly and correctly Working knowledge of desktop computer office software required.
  • Experience in management of computer network is a plus.
